School’s Out for Summer: An Eight-Week Electrical Maintenance Plan for School Facility Managers

If you're a school facility manager, maintenance supervisor, or a contractor who works with schools, you know the calendar runs your year. 

For most of it, the buildings belong to everyone but you – classrooms full, gyms booked, hallways never empty long enough to pull a ceiling tile. Then the last bell rings, the parking lot clears, and the building is finally yours, for about eight to ten weeks before staff return in late August. 

The managers who get the most out of it aren't the ones working hardest in August; they're the ones who sequenced the work in May and had materials on site before the trades arrived.

Here's a game plan, in the order the work should happen.

Before Summer Starts: Audit and Material Ordering

OK, technically this is before summer! But you’ll want to line up two key things in spring: a clear scope for the summer ahead, and the materials to deliver it. This way, the day the building empties, your trades can start work instead of waiting on decisions and deliveries.

Facility audit. Before you order anything, walk the building and audit the lighting: take stock of every fixture, measure light levels, check that controls work, and note the over- and under-lit spaces. That gives you a prioritized scope you can budget. 

Apply the same discipline to your panels, data closets, and emergency systems: an hour with a clipboard in May saves a week of improvising in July!

Materials and electrical product ordering. Build your bill of materials early, confirm availability, and stage deliveries to match your trades’ schedule. If you’re unsure what lead times look like this year, that's a five-minute call worth making before you finalize a timeline.

Weeks 1–2: Safety and Compliance Items That Can’t Wait

Start with the items carrying the most risk and least flexibility – the things an inspector, or an incident, won't wait for.

Emergency and exit lighting. Batteries in emergency heads and exit units degrade on a schedule, so test every unit, swap failing battery packs, and replace aging incandescent exits with LED while the building's empty.

Panels, breakers, and devices. Open up the electrical rooms: check for heat damage and corrosion, replace questionable breakers, and update panel schedules. 

Then walk every room for the device-level issues that pile up over a year – damaged wiring, overloaded or faulty outlets, worn switches, and missing ground-fault protection in washrooms, labs, kitchens, and shops. 

Confirm grounding is intact and the electrical room itself has clear access and current signage

Surge protection. Schools are full of sensitive electronics, and a single transient can take out a lot of them. Adding surge suppression while you're already in the electrical room is cheap insurance.

Fire alarm and life safety. With uninterrupted access, test the fire alarm panel, devices, and electrical components, and document anything needing follow-up before occupancy.

Weeks 2–4: Lighting and Energy Upgrades

Lighting and controls are disruptive enough to be worth saving for an empty building, and they're also the upgrades with the fastest payback, due to potential rebates.

LED retrofits. Converting fluorescent troffers or HID fixtures to LED cuts energy and maintenance costs and improves light quality. Summer allows you to work floor by floor, and modern LEDs let you pick colour temperatures to suit each space. 

Controls, occupancy sensors, and daylight harvesting. Occupancy sensors keep lights off in empty rooms, daylight-harvesting controls dim artificial light when sunlight is doing the job, and timers and dimmers schedule the building around the bell. 

It's far easier to install all of this while the ceilings are already open. The same window is also the cheapest moment to handle the electrical side of HVAC controls, like swapping in smart thermostats.

Weeks 3–5: Datacom, Connectivity, and Backup Power

So much of a school now depends on its network – student records, online learning, phones, security cameras, door access – that taking systems offline during the year isn't an option. Summer is the only realistic window to pull cable and do that work without disrupting anyone.

Cabling and network infrastructure. Upgrade an aging backbone to current-category copper or fibre, replace worn patch cords and panels, and check switches for capacity and wear. Better cabling directly supports the bandwidth digital classrooms demand.

Security and backup power. Verify cameras and access control are working and covering the right areas, and add or refresh a UPS so a summer storm doesn't take down your servers and network gear.

Weeks 5–7: Install or Upgrade EV Charging Infrastructure

EV charging demand is only going one direction, and parking-lot trenching is far less disruptive in summer. Building out charging can also count toward LEED certification, or earn rebates. Even if you're not installing chargers this year, running conduit and confirming panel capacity now saves disturbing the lot again later.

Weeks 7–8: Exterior Lighting and Winter Freeze Protection

Finish with the outdoor and cold-weather-preparation work that's easy to forget in July – but will be impossible to ignore by October.

Exterior and pathway lighting. Replace failed wallpacks and area lights, upgrade to LED, and confirm photocells and timers are working. Well-lit exteriors matter most in the dark months – fix them while the weather's good.

Heat trace and freeze protection. Roof de-icing and pipe heat-tracing fail silently in summer and show up in the first cold snap. Test and repair now, not in January.

Your Pre-September Electrical Checklist

  • Lighting audit completed and turned into a prioritized scope
  • Bill of materials finalized and lead times confirmed
  • Emergency and exit lights tested; failing batteries replaced; incandescent exits swapped for LED
  • Electrical rooms inspected; breakers, panel schedules, outlets, switches, wiring, and grounding addressed
  • Surge protection and fire alarm verified
  • Fluorescent/HID fixtures retrofitted to LED; sensors, daylight-harvesting, and controls installed
  • Rebate paperwork submitted
  • Cabling, network closets, and switches upgraded; cameras and access control verified; UPS in place
  • EV conduit and panel capacity addressed (even if chargers come later)
  • Exterior lighting repaired/upgraded; heat trace and de-icing tested
  • Walkthrough completed before staff return
